What an internship certificate is for

An internship certificate is a short document from the company confirming that a student or fresher completed an internship with them: the dates, the role, and what they worked on. Students use it for college credit or placement records, and for their next internship or first job application. It is evidence, so it must be accurate.

It is different from an offer or appointment letter, which sets terms before or at the start, and different from a recommendation letter, which gives a personal opinion. A completion certificate only states what happened.

What to put in the certificate

Say what you can prove. A college or a future employer may check any line.

Intern's name and institution
Full name as on their ID, and the college if the intern wants it shown.
Role and team
The internship title and the team or function, such as Marketing Intern in the growth team.
Start and end dates
The actual dates, from your records, not rounded to a convenient month.
What they worked on
One or two factual lines about the projects or tasks, which make the certificate far more useful than a bare line of dates.
Mode
On-site, remote or hybrid, if it matters to the intern's college.
A performance line, if it is true
A single honest sentence. Leave it out if you cannot say something good and true.
Stipend, only if the intern wants it
Some colleges ask for it. State the amount you actually paid, and nothing else.
Authorised signature
Signed on company letterhead by a manager or HR.

What colleges and recruiters look for

Colleges usually want the company name on letterhead, the intern's name and roll number if they ask for it, the exact dates, the number of weeks or months, and a signature. Recruiters care about the role and the work, because that tells them what the person can do.

If the intern needs the certificate in a particular format, ask them for the college's template and fill in the same facts. Do not change the dates or role to suit a requirement, such as a minimum number of weeks. If the internship was shorter than the college needs, the certificate must still say what actually happened.

Good practice when issuing internship certificates

A small process saves a lot of repeat requests.

Issue on the last day
Give the certificate on or soon after the last day, while the details are fresh.
Use the same template for everyone
It is fairer and quicker. Add the work-done line for each intern.
Do not tie it to anything else
Do not hold it back for a feedback form, a project handover not yet done, or a stipend dispute. Settle those separately.
Issue in bulk when you run a cohort
Fill a sheet with one row per intern and download a letter for each.
Keep a copy
Interns often ask again months later. Reissue with the original dates, dated today.

What goes wrong

Most problems are small inaccuracies that cause bigger trouble for the intern later.

Dates that do not match your records
Colleges and background checks compare them against attendance and payment records.
Calling it 'employment'
An internship is not employment. Use 'internship' throughout so the relationship is not misdescribed.
Praise you cannot back up
A superlative in a certificate becomes something you are asked to stand behind.
Promising a job in the certificate
A pre-placement offer, if there is one, belongs in a separate offer letter.
Unsigned or on plain paper
Put it on letterhead, signed by an authorised person.

Frequently asked questions

What is an internship certificate?

It is a document from the company confirming that a student or fresher completed an internship: the role, the start and end dates, and usually what they worked on. Interns use it for college records, placements and job applications.

What should an internship certificate include?

The company name and address on letterhead, the intern's full name, the role and team, the exact start and end dates, a line on the work done, an optional performance remark, the date of issue, and the signature of an authorised person. A stipend line is optional.

What is the difference between an internship certificate and an experience letter?

They are close. An internship certificate is the document specifically for an intern, and says 'internship', not 'employment'. An experience letter is for an employee. The experience letter generator also covers an internship version if you also want a relieving wording.

Is an internship certificate mandatory?

Issuing one is standard practice, and most interns need it for college credit or their next application. Refusing a factual certificate to someone who completed the internship usually causes more problems than it avoids.

Can the certificate mention the stipend?

Only if the intern or their college asks for it, and only with the amount actually paid. Otherwise leave it out, because the certificate may be shown to others. The form has a stipend field you can leave blank.

Should I write a performance remark?

Only if it is true and you can stand behind it. The options are short, factual lines, and you can choose not to mention performance at all. A certificate should never contain a negative remark; if there is nothing good and true to say, leave it out.

Can I issue the certificate if the internship was shorter than planned?

Yes, but it must show the actual dates. If the college requires a minimum duration, do not change the dates to meet it. Issue a certificate for what happened and let the intern take it up with the college.

Does an internship certificate need a stamp or to be on stamp paper?

No. Issue it on company letterhead, signed by an authorised person. Adding the company seal is common practice, not a legal requirement for a certificate like this.

Can I send the internship certificate by email?

Yes. Most companies send a signed PDF, and electronic records are recognised under the Information Technology Act, 2000. Some colleges ask for a hard copy as well, so offer to post one if the intern asks.

How do I issue certificates for a whole batch of interns?

Use the bulk sheet. Download the template, fill in one row per intern with their name, role, dates and work done, upload it, and download a zip with one Word file per person. The company details and tone come from the form.
