How to make a salary slip

  1. 1

Enter the company and pay month

Your company's name and address, and the month the slip covers, such as September 2026.

  2. 2

    Add the employee's details

Name, employee ID, designation and date of joining. Add PAN, UAN and bank account if you show them.

  3. 3

    Enter working and paid days

If paid days are fewer than working days, the slip shows the loss-of-pay days.

  4. 4

    Type each earning and deduction

Enter the amounts from your payroll, already adjusted for loss of pay. Leave a field blank to leave that row out.

  5. 5

    Check the net pay

The slip totals both columns and writes net pay in figures and words. Make sure it matches the bank credit.

  6. 6

Choose signed or computer-generated, then share privately

Download as Word or PDF and send each slip only to that employee.

What a salary slip shows

A salary slip, also called a payslip or pay slip, is the monthly statement an employer gives each employee showing what they earned, what was deducted and what was actually paid into their bank account. It is the one document that ties an employee's offer letter to the money they receive.

There is no single official format for a private company's payslip. What matters is that a reader — the employee, a bank, a visa officer, a future employer — can see the following at a glance and check that the numbers add up.

Employer details
The company's name and address, ideally on letterhead.
Pay period
The month the slip covers, for example September 2026.
Employee details
Name, employee ID, designation and date of joining. PAN, UAN and the bank account are common and useful, but optional.
Days
Working days in the month and the days actually paid. If they differ, the gap is usually loss of pay.
Earnings
Each pay component paid this month — typically basic, house rent allowance and a special allowance, plus anything else such as conveyance, bonus or arrears.
Deductions
Each amount held back — usually the employee's PF contribution, professional tax where the state levies it, and TDS on salary.
Net pay
Gross earnings minus total deductions, in figures and in words. This should match the bank credit to the rupee.

CTC, gross salary and net pay: what's the difference?

Most confusion about payslips comes from three numbers that sound alike. The offer letter talks about CTC; the payslip talks about gross and net. They are not the same, and a new employee is often surprised that the amount credited is well below one-twelfth of their CTC.

The gap between CTC and gross is the employer's own costs, such as the employer's PF contribution, gratuity provision, or insurance premiums. The gap between gross and net is the employee's deductions. This generator only works with gross and net: you enter what was paid and deducted this month, and it does the subtraction.

TermWhat it meansWhere you see it
CTC (cost to company)Everything the employer spends on the employee in a year, including amounts the employee never receives in handOffer, appointment and increment letters
Gross salaryAll earnings for the month, before any deductionSalary slip: total of the earnings column
DeductionsAmounts held back from gross — PF, professional tax, TDS, recoveriesSalary slip: deductions column
Net pay (take-home)Gross salary minus deductions — what reaches the bank accountSalary slip and bank statement

Why employees need their salary slips

For an employee, payslips are the everyday proof of income. Asking for them every month — and keeping them — saves a scramble later. They are typically asked for in these situations:

Loans and credit cards
Banks and lenders usually ask for the last few months' slips, along with bank statements, to check income and stability.
Rental agreements
Landlords and brokers in many cities ask for recent payslips before letting a flat.
Visa applications
Embassies often want recent slips and an employer letter as evidence of employment and income. Some want them signed and stamped.
Filing your income tax return
Slips help you cross-check the salary and TDS shown in Form 16 and in your tax records, and spot a deduction that was never deposited.
Changing jobs
A new employer may ask for the last slips to verify your current salary.

Common payslip mistakes to avoid

Most payslip errors are small, but each one creates work: a rejected loan file, an employee query, or a mismatch with the tax records. Check these before you send the month's slips.

Net pay doesn't match the bank credit
The single most common problem. If you paid an advance or a reimbursement separately, show it, or explain it.
Wrong month or days
A slip copied from last month with the old pay period, or paid days that don't match attendance.
Deductions that don't add up
Hand-typed totals that differ from the rows above them. The generator totals every column for you.
Name and PAN mismatches
The name should match the employee's PAN and bank account exactly, or a bank may query it.
Showing deductions you didn't make
Only list what was actually deducted and deposited. A PF or TDS line on a slip that never reached the authority misleads the employee.
Sending slips to the wrong person
Salaries are private. Share each slip only with that employee.

Do employers have to issue salary slips?

Wage slips may be required under the labour rules that apply to your establishment — state shops and establishments rules, and the wage rules under central labour law, can require a slip in a set form for some or all employees. Which rules apply depends on your state, your sector and the size of your team, so check with a payroll or labour-law adviser rather than assuming either way.

Even where nothing obliges you, issuing a slip every month is cheap good practice. It answers most salary questions before they are asked, gives employees the proof of income they will inevitably need, and creates a monthly record that matches your payroll and bank payments.

What a slip should never do is decide your statutory deductions. Whether PF, ESI or professional tax applies, and at what rate, depends on your registrations, your state and each employee's pay. Work those figures out with your payroll provider or accountant, then enter the amounts here.

Making payslips for the whole team

For more than a handful of employees, fill one row per person in the bulk sheet — name, ID, designation, days and each earning and deduction amount — and download all the slips together. Because every component is its own column, each person's slip carries their own figures.

Before you send them, scan the net pay column against the bank transfer file for the month. A slip that says one amount while the account shows another is the fastest way to lose an employee's trust, and it is almost always a typing slip that takes a minute to fix before sending and a week of emails to fix after. If someone joined or left mid-month, double-check their paid days and that every earning was reduced to match.

Keep the slips in a dated folder each month alongside your payroll register. If an employee or an inspector asks for a slip from two years ago, you will want to produce exactly what was issued at the time.

Frequently asked questions

What is a salary slip?

A monthly statement from the employer showing the employee's earnings, the deductions made and the net pay credited. It also identifies the employee and the pay period, so it works as proof of income.

What is the difference between a salary slip and a payslip?

None. Salary slip, payslip, pay slip and wage slip are used interchangeably in India for the same monthly statement.

Does this generator calculate PF, professional tax or TDS?

No. Those depend on your registrations, your state, the employee's pay and their tax regime, and the rules change. Work them out with your payroll provider or CA and type the amounts in; the slip totals them and works out net pay.

Is a computer-generated salary slip valid without a signature?

Many companies issue unsigned slips with a line saying they are computer-generated, and that is widely accepted for everyday use. Some banks and embassies still ask for a signed and stamped copy, so this generator offers both versions.

How do I show loss of pay on a salary slip?

Enter the working days and the paid days. If paid days are fewer, the slip shows the loss-of-pay days. Enter each earning already reduced for those days — the generator does not prorate, because companies count days differently.

Can I make salary slips for all my employees at once?

Yes. Every earning and deduction is its own field, so the bulk sheet takes one row per employee with their own amounts, and you can download all the slips together.

Why is my net pay much lower than my CTC divided by 12?

CTC includes costs the employer pays on your behalf that never reach your account, such as the employer's PF share, and annual items like bonuses. Net pay is also after your own deductions such as PF, professional tax and TDS.

How many salary slips does a bank ask for?

It varies by lender and product; most ask for recent months along with bank statements. Check with the lender, and keep every slip so you can produce any month they ask for.

Should the salary slip show my full bank account number?

It does not have to. Many employers print only the last four digits to limit misuse if the slip is shared. Either is fine; leave the field blank to omit it.

My employer doesn't give salary slips. What can I do?

Ask HR in writing. In the meantime, your bank statements, appointment letter and Form 16 together usually work as proof of income. Depending on the labour rules that apply to your workplace, a wage slip may be something your employer is required to give.
